How to understand Abstracts, Notes, Documents and Attachments in Biblioscape - August 23, 2001 (contribution from Ann Porch)
Abstract (Abstract: memo: 256MB) A summary of full content. Typically, this field will be part of an imported reference. This is a memo field and can hold up to 256 MB of data. The Abstract field is a simple text field and can not include formatted text, graphics, or OLE objects. Use the "Abstract" button/tab above the Reference Input Area to view and edit it in a notepad sized text area, along with the Notes and Keywords fields.
Notes Field (Notes: memo: 240MB ) For storing your comments, ideas, etc. about a reference. This is a memo field and can hold up to 256 MB of data. The Notes field is a simple text field and can not include formatted text, graphics, or OLE objects. Use the "Abstract" button/tab above the Reference Input Area to view and edit it in a notepad sized text area, along with the Abstract and Keywords field.
Do not confuse this field with the notes that are created and stored in folders in the Notes Module. Notes created in the Notes Module can be linked to references, but are not a part of them. A note created in the Notes Module may have relationships defined by a set of links with several references, with other notes, tasks, etc. and can contain formatted text, graphics, or OLE objects. The Notes contained in the Notes Field of the reference pertain only to that specific reference and are for simple text only.
Document (Ref_doc: memo: 256MB) For storing the full text of a reference in RTF format. The document field can include formatted text, graphics, and OLE objects. Therefore you would be able to add the full text of a paper, along with graphics, Excel spreadsheet, chemical structure drawing, etc. Use the "Documents" button/tab above the Reference Input Area to view and edit it in a wordpad type editor, similar to the one used in the Notes Module.
Do not confuse the Document Field of a reference with the Documents you create in BiblioWord or your own word processor containing your article and bibliographic citations. The Document Field is related to the reference itself and its editor does not support drag and drop citations or format bibliographies automatically; but it do not check spelling. The Document Field is intended to contain full text or excerpts of the reference text itself. The document you prepare in Biblioword is intended to contain your research paper.
Attachment (Attachment: char: 255) For storing the full path of the file associated with the reference to a file stored on your local disk. If the file type is associated with a program, such as .doc (Word) or .xls (Excel), clicking on the attachment button will launch that program and open the file. It works like an email attachment. The file itself is not stored in the reference record, only a "path" to it, such as C:\My Documents\Chemistry 101\handout3.doc, which may contain an assignment related to the reference, for example. In this way a professor could hand out a reading list, with "attached" assignments, to be viewed by students with BiblioExpress.
